Hooray, it’s that time of year again where agents spend hours blankly staring at their computers – Medicare Certification Season! Cue the collective groan from agents across the US. That’s why I’m here, to give you a handy 2019 AEP Checklist to get you ready for a successful Annual Enrollment Period!

It’s very important that you get your ducks in a row EARLY! Waiting until September to complete your AHIP and product certifications is a sure-fire way to increase stress levels this fall. The closer it gets to AEP, the more bogged down carriers get with processing new contracts, background checks, and product certifications.

Speaking from personal experience, I’ve seen it take as long as 4 weeks for agents to receive their “Ready to Sell” status after completing their product certifications. There’s nothing more frustrating than losing a sale just because you were still waiting to show up as “Ready to Sell.”

That dirty four-letter word that spikes agent’s blood pressure far and wide. Unfortunately, it’s a necessary evil in our industry and is required to sell Medicare Advantage and Prescription Drug Plans. If you’re an agent that doesn’t sell MA, then I have news for you – You’re Leaving Money on The Table! The Value of TRUST – Presenter: Charlie Ferrell

Have you ever wished you had a personal sales coach to help you with setting business goals, making sales action plans, and being more effective in home visits.  Charlie Ferrell introduced RBI’s new TRUST Training, a program designed around 15+ years of senior insurance experience.  So what does TRUST stand for?

A lot of independent Medicare brokers in the industry today see the need for marketing, but don’t know how to take that need and translate it into action.  Marketing for your business should be about building a system that fits your budget, your schedule, and is easy to maintain.  After all, the goal is to scale your marketing to fit YOUR business growth.

Usually when I say marketing, agents tend to think of $$$.  But what they may not realize is the most effective marketing/advertising is word of mouth.

7 Habits of Sales Champions – Presenter: Charlie Ferrell

If you’re like me, building strong habits that work for you is a struggle. Charlie Ferrell, broke down how to be a real sales champion by building habits like a ladder to success! My number-one takeaway from this event was S.M.A.R.T. goal setting, always focused on learning, and are passionate about their work.  (Don’t know what SMART goal setting is?  We’re just a phone call away!)

The most successful agents I know are masters of #7 on our list, follow-up.  Whether it’s simply following up with clients, referral sources, or returning phone calls, following-up is always my top priority when it comes to just about everything…except for maybe returning that phone call from your mother-in-law.

DSNP’s: Who They Are & Why Work Them – Presenter: Rob Bever

This presentation captured the many reasons that Dual Eligibles are a great market for any agent. A quick recap:

Most agents I talk to don’t like working with Dual Eligible beneficiaries and want nothing to do with them.  The most common reason I hear is that they fall off the books too easily.  This got me thinking, “How was RBI’s Sales Manager, Charlie Ferrell, able to build his business on Dual Eligible’s while I’m talking to agents who can’t even get them to stay on the plan for 1 year?” The answer is usually a combination of a couple things like, not following-up, and not returning phone calls.

If you ask me, working with Dual Eligible beneficiaries is more fulfilling than selling regular MAPD’s or Medicare Supplement policies, because these are people that truly need help and in a lot of cases have no one else to turn to.

Grassroots Campaign: Business Growth Through Educational Events – Presenter: Charlie Ferrell

This presentation was all about the radical idea that a truly GREAT Educational Events will pay dividends with referrals and building a reputation in your community.

Here’s the exceprt:

Imagine you hosting a great educational event every 3 months at the same location.  If you’re doing it right by, making them fun and interactive, being engaging, and of course presenting good information then the people who attend are that much more likely to tell their friends and family about a great free event (your event if you’re still following me) and even more likely to reach out to you when they have questions about their Medicare or want to switch plans.

Intentional Scheduling: How Efficiency Increases Sales – Presenter: Justin Bever

How do you ensure that you’ll have a great open enrollment?  It’s all in the preparation. 

In this presentation, we talked about managing back-end office processes like, turning in all your applications at the end of the day while making sure everything gets documented and saved along the way.  You’ll be amazed at just how much time you can save by working smarter, not harder, to stay organized and on top your crazy workload during the Annual Enrollment Period.

My bottom-line takeaway? Hire a temporary assistant (or get a family member to help for cheap labor!) to help stay organized during AEP. Even if they just call and set appointments with your clients and potential clients, you’ll be able to see more clients in a day.

How to Succeed in a Commission-only Business – Presenter: Justin Bever

The focus of this presentation was an answer to the question: how do Medicare brokers survive until late January and sometimes early February before they even see a dime from their Medicare Advantage enrollments from last year’s AEP?

Short Answer:  Burn through your savings account.

Long Answer:  Very carefully!  All kidding aside, if you don’t have a good amount of cash that you can live on for 3+ months, what do you do for the Annual Enrollment Period?  There’s a couple options:

  1. Look for an agency that will advance your commissions (usually career agent programs will offer this — call RBI to learn about this option, ask for Charlie!)
  2. Cross-sell ancillary products like Hospital Indemnity, First Diagnosis Cancer, and Short Term care that typically pay in 7 – 10 days, MUCH quicker than MA plans.

Turning Your Business Into an LLC – Presenter: Charlie Ferrell

The two major reasons ANY agent should run their business as an LLC are tax advantages and to protect you and your assets with an extra layer of liability protection. Another reason is the ability to provide for your family should something happen to you. For example, if you were to pass away suddenly and you are contracted directly with a carrier as an individual, those commissions would cease to be paid upon your death. If you were contracted as an LLC and you were to pass away, your commissions would continue to be paid as long as your entity remains in compliance with the carrier contract.

Cigna-Healthspring Sanctions Lifted as of June 16, 2017



Great news for all you Cigna-Healthspring contracted agents out there: the Cigna-Healthspring Sanctions have been lifted!

As of Friday, June 16, 2017, Cigna-Healthspring has returned to active marketing and enrollment.

What does this mean for you?

Any Cigna-Healthspring Medicare Advantage Plans and Part D prescription drug plans can be sold for effective dates on or after July 1, 2017.

How do I get started?

To be ready to sell or receive sales materials, you will have to go thru a CMS required Certification Refresher Course. If you do not complete this course, you will not be able to pick up sales materials, and you will not get paid on any new sales.

Cigna-Healthspring Sanctions Lifted

What about Sales Materials for the rest of this year?

Contact your local sales manager for sales materials after you complete the refresher course.  (If you live in AZ and are contracted with RBI, then you would let us know if you want materials).

Here are a few FAQ’s for your reference:

  • The CMS certification is separate from any product certifications you’ve already completed, and separate from the 2018 product certifications.
  • If you would like to sell 2018 Cigna-Healthspring MA plans, or PDP plans, you would still need to complete the 2018 certifications that will be released in the next couple of months.
  • The CMS Refresher Certification can be found on the Cigna-Healthspring Producers website, the same as you would find any other Cigna product certifications.
  • Cigna is now a 4.5 Star Plan, so it can only be sold outside of Annual Enrollment Period (AEP) to people who have a Special Enrollment Period (SEP). Legally Cigna can’t have a 5 star plan as they come out of sanctions.

Humana has announced the release of their upcoming Medicare Advantage/PDP 2018 certification.  When that date is depends on if you are certifying with Humana for the first time, or if you’re a returning agent.  Humana has closed their 2017 certification on June 16th.  Click the button below to access the 2018 certification after it goes live.

United Healthcare 2018 Certification

Last year we created a super handy master certifications page on our blog so that agents could easily access all of their certification portals from one spot.  Fear not!  As we draw closer to AEP and more carrier certifications become available we will update our 2017 certifications page for the 2018 certification season.  United Healthcare is the first Medicare Advantage carrier to announce the opening of their 2018 certification, which will be June 26th.  Click the button below to access the UHC certification once it has been released.




Five reasons to not procrastinate this certification season!

If you’re like me, you are going to get your AHIP out of the way as soon as possible.  For me, that’s the day it comes out, June 19th.  I know what you’re thinking, “it’s your job to get it done ASAP,” and you wouldn’t be wrong.  So here are the top 5 reasons to knock out AHIP and carrier certifications as they become available.

  1. The closer you get to AEP to do your certifications, the longer it takes carriers to process paperwork and background checks.  I’ve seen it take up to 6 weeks before agents got their “Ready to Sell” status.

  2. The sooner you get your certifications done, the sooner you can start crafting your marketing plan for AEP (sending ANOC letters, calling all clients, scheduling events and so on).
  3. If you plan on doing any kind of events during AEP, the sooner you have your certifications done, the less likely the locations you have picked out will be booked.
  4. You will not be able to order or pick up any Sales Materials until you are marked as “Ready to Sell” with that particular carrier.
  5. And finally, the last reason you shouldn’t procrastinate when it comes to Medicare certifications: PEACE OF MIND.

What do I need to submit with my contract?

Make sure you include a copy of your E&O insurance, your state license and if you’re contracting with a Medicare Advantage carrier, you should also submit a copy of your AHIP as well. Most carriers product certification is done AFTER contracting. With Aetna, you must certify before they will process your contract. 

How long do I have to wait to change hierarchy?

Change-of-hierarchy policy is generally set by the carrier. In general it is waiting 6 months with no-production, but each carrier is different. Some carriers do not contract directly with the agents but only with the FMO or General Agency. How long does the contracting process take?

The contracting process can take some time, and will vary depending on the carrier. Some are very quick, like Equitable’s same-day contracting, and others take a little longer. In general you should expect to wait at least 2 weeks after you submit your contract before receiving your writing number. The contracting process also does get backed up, especially during ramp-up for AEP (September to November). Our contracting department recommends contracting early so you are ready-to-sell prior to October 1st.

How do I know my writing number?

Your writing number usually comes to you via email, after you have successfully completed contracting and certification. Keep an eye on your inbox for an email from the carrier, and if you haven’t received your writing number, check your spam folder. You should also add the carrier’s email address to your safe senders list. How do I add or remove an appointment state?

The RBI Contracting Department will be happy to help you with this. Simply e-mail them your updated licenses, or call our office at 1-800-997-3107 for more information.

Does RBI pay agent commissions directly?

Most of our agents receive their commissions directly from the carrier with very few exceptions. If you need help with this process, speak to our Contracting and Commissions Department at 1-800-997-3107.

When can I expect my commissions?RBI Team

If RBI does pay your commissions, those commissions are generally paid toward the end of each month.

When will I get my AME credits? 

If you are participating in our Medicare Advantage “Every 5 Sales Drive” through RBI, the marketing credits will show up in your Agent Market Edge account at the beginning of the month following the enrollment month. This means if you have qualifying sales in February, the marketing credits will show up in the beginning of March.

What can I spend my marketing credits on?

Your marketing credits can be used to purchase any type of collateral on the Agent Market Edge online portal. With this great tool, you’ll be growing your business in no time!
